Important Information - Deposit of Checks
Please use the departmental deposit form to make deposits of cash and checks. A separate form should accompany cash deposits and check deposits. Cash and checks must be deposited promptly. Please refer to Cash Collection Deposits and Reconciliations for guidelines on deposit of these receipts.
If you are returning unused scholarship/fellowship funding, please use the Return of Scholarship/Fellowship Funding Form.
On a departmental deposit form, for each check, enter the project grant, the account code, a description indicating what the payment was for (lab fees, registration), the department code, and the total amount. You may enter multiple checks received for the same purpose and project grant on a single line.
Photocopy the deposit slip and all corresponding deposit information. Please keep a record of the following: issuer of the check, amount, contact information for the issuer, and check number. Do not photocopy or scan checks unless specified in an approved cash handling procedure. This practice will enhance the security of private banking information.
Secure the departmental deposit form and checks in an envelope and deliver to the drop box at the Financial Service Center (see bottom of page for hours) or send the deposits through interoffice mail to Cash Operations, 701 Carnegie Center, Suite 432.
If forwarding checks for deposit via campus mail, assume the deposit will reach Cash Operations two days after it is sent. You should see the deposit in your department account within seven business days of the time it was received by Cash Operations.
