Faculty and Staff: HR Self Service 

Choose the Payroll tile and then the Direct Deposit tile where you can enter your U.S. banking details. Note: The Payroll system is not configured to send direct deposit to international banks.

Monthly payments are issued the last business day of the month, biweekly payments every other Wednesday. Review the full payroll schedules.                    

Review HR Self Service.  If no pay statement is available, email [email protected]

Employees and graduate students paychecks are mailed to the home address listed in HR Self Service.  

Undergraduate student paychecks are mailed to their Frist mailbox.

Review HR Self Service to confirm a physical check was issued. Once confirmed, complete the Stop Payment Request Form.

Review HR Self Service to confirm a direct deposit payment was issued for the applicable pay date. If confirmed, a Payroll Representative will contact the individual once the payment is returned to the University. Note: It takes approximately 3-5 business days from the pay date for the bank to notify Payroll Services of the returned deposit. 

If paid via direct deposit, payment will be sent to the bank account on file and the final pay statement will be mailed to the home address in the payroll system.

If you are a new or rehired benefit eligible employee and did not elect to contribute or opt out of the retirement savings plan, you are automatically enrolled at 5% of your base salary.      

If you do not want to contribute, it is imperative that you “stop voluntary contributions" or, contributions will continue to be taken. You can start, stop, increase, or decrease your contributions at any time in any of the following ways: 

• Visit TIAA.org/Princeton. Log in or select Enroll or Update and follow the prompts.
• Call TIAA at (800) 842-2252.
• Log in to Princeton University HR Self Service. Easily, securely, and directly access your TIAA account. Click the Benefit Details tile, then click the Manage Retirement Savings tile.

If you are within 90 days of your first contribution and you would like a refund of your retirement savings plan contribution, you can call TIAA at 1-800-842-2252 and request a permissible withdrawal of your contributions.  Refunds outside of 90 days of your first contribution are not permitted.

The Internal Revenue Service (IRS) requires the University to withhold Social Security (OASDI) tax from all employees. You may claim a credit for the excess Social Security (OASDI) tax withheld when filing your income tax. Consult your Tax Preparer or Accountant for further guidance. 

Although you are not a New Jersey resident, the University is required to withhold New Jersey tax from individuals working in New Jersey. You may claim a refund of the tax withheld by filing a New Jersey nonresident tax return, NJ-1040NR. Consult your Tax Preparer or Accountant for further guidance.

Review the list of states where the University is a registered employer. If you are working in one of the listed states, email [email protected] for further assistance. 

If the state is not listed, the University is required to withhold New Jersey tax from individuals working in New Jersey. You may claim a refund of the tax withheld by filing a New Jersey nonresident tax return, NJ-1040NR.  Consult your Tax Preparer or Accountant for further guidance.

Employers in the state of New Jersey are required to withhold these taxes from employees working in the state.

Form NJ-165 is used to withhold Pennsylvania state tax instead of New Jersey state taxes. The University does not withhold local taxes. PA local and/or municipal taxes are to be remitted by the employee.

Complete Form NJ-165 and email the completed form to [email protected] using Secure Send.

Form NJ-165 allows Pennsylvania State tax withholding. The University does not withhold local Pennsylvania taxes. The individual is responsibility for remitting Pennsylvania local or municipality taxes.

The University does not withhold tax from fellowship payments issued to citizens or permanent residents. When filing your tax return, use the Year to Date (YTD) fellowship amounts on your final pay statement of the year.

If you have not done so, complete your profile in Sprintax, and upload the applicable documents. Payroll Services will be notified to update your tax record, if you are eligible for treaty exemption. Note: FICA is a combination of Social Security (OASDI) and Medicare (MED) tax. This is different than Federal tax.

Enter the SSN in your profile in Sprintax.  

If you have not done so, update your profile in Sprintax and upload the applicable documents. Payroll Services will be notified to update your tax record to allow you access to the W-4 on Self Service. Students: TigerHub

The W-2 will be mailed and available online by January 31. The W-2 form is mailed to the home address listed in Self Service (Faculty and Staff or TigerHub (Students).

A unique ID number was assigned because there was no SSN on file for you.  This number allows you to view, print or download the form from ADP’s site. The Social Security Administration does not recognize this number, therefore it cannot be used to file your income taxes. 

US Citizens and Permanent Residents –email the valid SSN to Payroll Services at [email protected] via https://securesend.princeton.edu an amended W-2 form will be issued. 

To use Princeton’s secure send. 

• Click on the link, Login with Princeton NetID.  Enter your NetID and password.
• In the body of the email, include your full legal name, nine-digit Princeton ID number (available on your ID badge and pay statement).
• Provide your social security number (SSN) or a copy of the card and/or letter.

Non-Residents

• If you received your SSN, please enter it in Sprintax via https://tds.sprintax.com/secure.   After Sprintax updates your record, an amended form will be issued.

Please, do not send the SSN through regular email as it is not secure.

You may still need to file taxes if you receive a stipend and/or fellowship payment.  These payments are considered taxable to citizens and permanent residents.  Use the final pay statement of the year and provide the Year to Date (YTD) fellowship amount. 

It is recommended that you work with a Tax Accountant and/or Tax Advisor to assist you.

Graduate Students - Tax Forms

The Payroll Services department offered a workshop, Understanding Your W4 and W2 Forms.  The current presentation is located here Understand Your W2 Form it may help to answer your question(s), if not, email [email protected] for further assistance.

Visit https://my.adp.com; click on the link to create account.  Select, I have a registration code and enter: pu.edu-W2.  Confirm your identity and the system will generate a user ID for you.  Follow the instructions on the site to create a password. The user ID and password will grant you access to download your form.

The IRS does not require an amended/corrected W-2 for an address change.  When filing your tax return be certain to enter your current address in case the agency needs to contact you.

The employee ID is a nine digit number the University assigned you and can be easily located on your ID badge and on your pay statement.  A NetID is not the same as an Employee ID.  The NetID is the alpha and/or alpha numeric characters in your email address.  This allows you to access Princeton University systems.  It cannot be used to obtain your W-2 on the ADP website.

Retirement Contribution changes can be made at any time during the year. You can now start, stop, increase, or decrease your contributions to the Retirement Savings Plan in any of the following ways: 

• Visit TIAA.org/Princeton. Log in or select Enroll or Update and follow the prompts.
• Call TIAA at (800) 842-2252.
• Log in to Princeton University HR Self Service. Easily, securely, and directly access your TIAA account. Click the Benefit Details tile, then click the Manage Retirement Savings tile.

Non-benefits eligible employees who wish to enroll in the Retirement Savings Plan will continue to contact [email protected]. Those who are already enrolled can request changes through TIAA.
