Certificates of Insurance (aka COI or cert) provide evidence of what insurance is in place for a specific organization. They are usually required as part of a contract or engagement. If you are renting a space or equipment from someone, you may receive a request to provide proof that Princeton has insurance. We may need a supplier to provide proof of their insurance if they will be coming onto campus or performing services for the University.
Requests for Proof of Princeton University’s Insurance
If you are asked for proof of our insurance please email [email protected] with the following information:
- A copy of the request
- The contract or agreement we have with the organization
- A description of what we are doing with/services we are purchasing from the outside organization
- If the request is for a special event or for a specific date or time, please provide event name, date, and time
- If for rented equipment, the value of equipment being rented
- If there is a contract or lease number, please include
Certificates of insurance may take up to 3 business days to provide, depending on the coverages required.
Insurance Requirements for Suppliers
Please refer to the sample certificate, which can be sent to a supplier as a visual guide of our requirements. Please note: the sample certificate shows our Standard Requirements. Depending on the services provided, the supplier may need to show different levels of coverage or additional areas of coverage.
All outside parties doing business with the University or coming onto campus are required to carry certain types and amounts of insurance coverage as outlined in the Minimum Limit Requirements Matrix. If a supplier cannot provide the standard insurance required, the department hiring them may request a modification or waiver of the requirements by contacting the Risk Management Department.
Commercial General Liability (GL)
If the Supplier will be coming onto campus or if we are purchasing a product or service
Workers' Compensation (WC)
If the state where the Supplier is headquartered requires the business to carry the coverage
Automobile Liability (AL)
If the Supplier will be driving onto campus or uses vehicle that is integral to the work performed for or services provided to the University
Professional Liability (PL)
If the Supplier has a professional designation or license, or if the professional is providing a professional service to/for the University
Cyber/Network Liability
If the Supplier will be accessing our networks or systems, or if they will be handling private and/or confidential information, including Personal Identification Information (PII)
Additional Requirements on a Certificate
- List the “Trustees of Princeton University, its officers, agents, and employees as an additional insured” under the outside party’s general liability policy.
- State that the policy is primary to any other valid or collectable insurance in force.
- Be underwritten by a carrier rated at least “A-” by AM Best
- Provide for 30-Days Cancellation: Contain a provision that a thirty (30) day prior written notice of cancellation shall be sent to the University.

- For any athletic or sporting event, the COI must also contain the following language: “This Insurance does not exclude coverage for bodily injury to any person while observing, practicing, or participating in any sports or athletic contest or exhibition sponsored by the Named Insured.”
- For any suppliers based outside the United States:
- If the insurance carrier does not have an AM Best rating, they must hold a similar rating from an accredited financial rating institution
- Coverage must have an provide coverage for claims and suits brought in the USA
Insurance Language in Contracts and Agreements
The University has established standard language regarding its insurance requirements for outside supplier contracts and agreements.
